How to manage multiple job sites and stay updated without losing control

A simple daily reporting system for contractors managing office tasks, site progress, materials and urgent decisions across several projects.

The starting point

When you run several installation, maintenance or construction jobs at once, the biggest risk is not the number of sites. It is missing a small change at one site until it becomes an expensive delay. You need an agreed update format that works even with a small team or a solo business.

Keep a separate site record

A unique job code should appear on that site’s notes, photos, material requests, expenses and invoices.

Ask the same questions every day

What was finished? What is planned next? What material is missing? What approval is blocking the work? Has anything changed in cost or schedule?

Flag exceptions, not every detail

Use three practical statuses: on track, attention needed, and blocked. Record the reason and the next decision.

Connect office decisions to the site

An approved quotation, supplier order or material delivery should be recorded against the corresponding job, not left only in chat.

Create a simple site status report

You do not need a long daily report to know what is happening. Use a consistent six-field update:

Field Example entry
Project JOB-102 — Chilled-water piping replacement
Today’s progress Pipe supports installed; line preparation underway
Tomorrow’s work Fit-up and welding after access approval
Materials Four fittings required before next activity
Risk / blocker Permit not yet approved; action assigned
Costs / changes Additional access equipment requested; price pending

If someone is physically on site, that person must provide accurate progress information. No dashboard can replace observations that have not been reported.

Run a five-minute morning exception review

Scan the list of active projects and prioritize blocked sites, approvals due, deliveries due today and unexpected costs. Review the affected work first. Routine items can wait until a planned office block. This prevents your day being driven entirely by incoming calls.

Do not mix site materials or money

When ordering material, record which project needs it, whether the item is for stock or direct site use, and when it is received. If a shared purchase serves two jobs, split quantities or cost allocations in a documented way. See the expense-by-site guide for an example.

Plan site visits based on need

A personal visit is most valuable for critical inspections, safety issues, disputed quantities, customer meetings and work that needs your decision. Routine updates can be collected by a standard call, message or daily note—but do not represent remote updates as proof of safety, quality or completion.

Keep customer communication separate from internal notes

Maintain an internal issue record with facts, owner and due date. Send customers clear updates about confirmed progress, approved changes and expected milestones. Do not promise dates based on pending supplier deliveries or unapproved access.

Connect information in PSEMIC ERP

PSEMIC ERP has project, procurement, inventory, document and reporting workflows that can help consolidate the records of each site. Test how your site updates, material requisitions and document approvals fit the available modules. Features and user limits vary by subscription plan.

Practical checklist

  • Every active site has a recent progress note.
  • Every blocked activity has a named action and due date.
  • Site materials are linked to the correct project.
  • Cost changes are flagged before being forgotten.
  • Required permits and approvals are checked.
  • Customer updates are based on confirmed information.

Frequently asked questions

Can I manage sites while working from the office?

You can coordinate decisions and records from the office, but physical activities still require appropriate site attendance, competent supervision and safety oversight.

What if I have no site team yet?

Use the same one-page status format after each visit or call. It will remain useful when you hire staff.

Does ERP replace a project manager or site supervisor?

No. It supports planning and records; competent site personnel remain responsible for real-world execution and safety.
