How to manage a small contracting business single-handedly

A practical operating system for a one-person business: organize enquiries, office administration, site work, purchasing, expenses and invoicing without losing control.

The starting point

Managing a contracting or technical service business alone is possible, but only when you make repeatable routines and keep information in one place. This guide is written for an owner who is also the estimator, purchaser, project coordinator and accounts administrator.

Capture every enquiry once

Keep one register with the customer, contact details, scope, required date, quoted amount and next action. Every phone call or message should create an entry or update an existing one.

Use one record per job

Give each accepted job a reference number and a folder for its quotation, purchase orders, site notes, photos, expenses and invoices.

Reserve office time

Batch quoting, supplier follow-ups and invoicing into scheduled blocks rather than switching tasks each time a message arrives.

Close the loop daily

Before finishing, update what was done, what is blocked, what was spent, what is due tomorrow and which customer needs a response.

Start with one control sheet, not five different systems

Your minimum control register can have just seven columns: Job / customer, current stage, due date, next action, responsible person, expected cost and actual cost. For a solo operator, the responsible person might always be you, but recording the next action still prevents tasks disappearing. Give jobs consistent references such as JOB-001, JOB-002 and JOB-003. Use the same reference on bills, quotations and folders.

Use a realistic daily rhythm

Time block What to review Record the outcome
Start of day · 15 minutes Urgent enquiries, site blockers, deliveries and payments due Top three priorities and deadlines
Office block · 30–60 minutes Estimates, supplier offers, purchase approvals and invoicing Updated status and next action
Site / delivery review Work completed, materials needed, issues and photos Daily job note
End of day · 15 minutes Expenses, pending decisions and tomorrow’s jobs Closed tasks and outstanding items

The time blocks are examples, not a requirement. During emergency work, capture a short note first and complete the record at your next office block.

Give every item a next action

Avoid vague statuses such as “pending” without context. Instead write “Waiting for supplier price; follow up Tuesday” or “Client approval required before ordering valve.” A short action with a date makes the business manageable even when you are interrupted.

Prevent financial surprises

Keep personal spending, overhead expenses and job expenses separate. Attach receipts to the correct job. Once a week, compare quotation value, committed purchase orders, actual costs, invoiced amount and outstanding customer payments. A profitable quotation does not automatically mean the job has healthy cash flow.

What software should help with

An integrated ERP should reduce duplicate entry between enquiries, quotations, purchase requests, projects, invoices and documents. PSEMIC ERP provides connected commercial and operational modules, with features depending on the chosen plan. Start with the two or three workflows you use daily; do not implement every module at once.

Practical checklist

  • Every enquiry has a next action and due date.
  • Every accepted job has a unique reference.
  • Every site expense belongs to a job or overhead account.
  • Every supplier order has a status.
  • Every completed job is reviewed for invoicing.
  • Tomorrow’s urgent actions are written down.

Frequently asked questions

Can one person run a small contracting company without an office administrator?

Often yes for a modest workload, provided records and routines are simple. As job volume rises, outsourcing bookkeeping or adding operational support may be necessary.

Does PSEMIC ERP automatically update sites without any input?

No. Accurate status depends on someone recording the latest activity, expenses and documents. ERP helps organize those records.

Where should I start if I currently use WhatsApp and spreadsheets?

Begin with a customer/enquiry register and one active job. Then move your standard quotation, project costs and invoice process in stages.
